Exhibit Hall Rules – Youth and Adult
(Exhibit Hall will be open subject to availability of volunteer staff)
All entries must be postmarked by September 10, 2007 to:

No e-mail or phone entries – no exceptions

1. Fill out form entirely. Social security numbers are required by the Town of Belchertown. Youth, please be sure to include your age. Classes cannot be split appropriately if we do not have your age.

2. Your exhibitor number is located on your mailing label (500-***-***). If you are a new exhibitor, a number will be assigned to you when we receive your entry form.

3. When entries are being accepted, please bring tape, pins, etc., to attach your exhibitor tags to your items.

4. Please use the strings provided to attach your tags to your items. Do not tape the cards to your articles.

5. Volunteers are needed to help set up the hall, familiarize exhibitors with hall departments, arrange hall.

6. The youth exhibit hall is open to all youth who have not turned 19 as of 01/01/07. The adult hall is open to all exhibitors who are 19 as of 01/01/07.

7. Articles must have been made within the past 12 months.

8. Only one entry per class in each department.

9. If the number of entries warrants, classes may be subdivided based on the age of the exhibitor: a. under 8 years; b. 9-14 years; c. 15-19 years.

10. Youth exhibits will be judged Blue (1 st), Red (2 nd), White (3 rd). All others will receive a participant ribbon.

11. The decision of the judge is final.

12. ****No participant may enter more than 40 items overall – not including animal entries.****

13. The Belchertown Fair will take reasonable precautions to safeguard all exhibits. The Belchertown Fair will not be responsible for broken, lost, or stolen exhibits.

14. Exhibits may be brought to the Exhibit Hall on Park Street on Wednesday, September 19 st from 6:00 to 8:30 p.m., and Thursday, September 20 th, from 2:00 to 6:30 p.m. Doors close at 6:30 p.m. All exhibits must be in place by 6:45 p.m. Judging begins at 7:00 p.m. It is suggested that baked goods be brought in on Thursday, to maintain freshness.

15. Items not registered by September 10 th will be accepted on Wednesday and Thursday, September 19 and 20, FOR DISPLAY ONLY – Space permitting.

16. Exhibits must be picked up on Sunday, September 23, 2007, between 5 and 6 p.m. The Belchertown Fair will not be responsible for any items not claimed at that time. Items will not be saved. (Bad weather may result in early closing.)

17. Please note new checkout arrangement. A-M will be in line one and N-Z will be in line two. If you do not receive a blue, red, or white ribbon, it is not necessary to wait in line to check out.
